Rental Terms — Rules, Charges & Responsibilities

These terms govern the use of AlexaCars vehicles. By renting, you acknowledge and agree to these conditions. Bold or titled amounts indicate standard fines or fees; final charges are subject to inspection and company policies.

Late Return Fees (Grace & Calculation)

If the vehicle is returned after the scheduled time, late fees apply. Customers must notify AlexaCars in advance if a delay is expected.

  • Grace period: 15 minutes from scheduled return time (no charge).
  • First hour late: ₹350.
  • Second hour late: additional ₹350.
  • Third hour onwards: ₹500 per hour or part thereof.
Fees calculated from scheduled return time, not booking end-time changes made after pickup.

Speeding & Safety Violations

Speeding or safety breaches recorded by telematics will result in penalties and possible suspension of rental privileges.

  • Speed above 105 km/h: ₹1,000 per instance.
  • Reckless driving or endangering others: immediate termination and loss of deposit plus repair/liability costs.

Extra Kilometre Charges

Any kilometers beyond the included allowance in your booking are charged as follows.

  • Extra km rate: ₹13 per km.
  • Mileage is measured by the vehicle odometer and GPS telematics; company records will be used for final calculation.

Smoking & Odour Policy

Smoking inside the vehicle is strictly prohibited.

  • Smoking fine: ₹500 per incident.
  • If professional cleaning or deodorizing is required, actual cleaning costs will be charged in addition to the fine.

Alcohol & Drug Use

Driving under the influence is prohibited and illegal. Violations will lead to severe penalties.

  • Immediate fine: ₹1,000.
  • Legal authorities will be notified for breaches; customer is liable for all legal and damage costs.

Cleanliness & Return Condition

Return the vehicle in reasonable, clean condition.

  • Minor cleaning: no charge.
  • Unclean returns requiring professional cleaning: ₹500 + actual cleaning costs if higher.
  • Excessive interior damage or soiling: charged based on assessment.

Scratches, Dents & Cosmetic Damage

All damage must be reported immediately. Charges depend on the affected part and severity.

  • Single-part scratch (minor): ₹2,000 per affected part.
  • Multiple scratches on same part or deeper damage: starting ₹3,000 per part; final bill based on repair estimate.

Major Body or Structural Damage

Damage to bonnet, roof, or structural components due to misuse will incur higher charges.

  • Damage to bonnet/roof/corrosion from misuse: minimum ₹5,000 plus repair costs as assessed.
  • Failure to report damage before continued driving may escalate customer liability.

Interior Liquid Spills & Stains

Spills that damage upholstery or electronics have significant cleaning/repair costs.

  • Minor spills: assessed case-by-case.
  • Severe spills requiring replacement or deep cleaning: ₹5,000 minimum + actual costs.

Unauthorized Driver Use

Only listed and approved drivers may operate the vehicle.

  • Handing over the vehicle to an unapproved person: ₹5,000 fine.
  • Insurance may be void for unauthorized drivers; renter remains fully liable.

Major Accident, Total Loss & Insurance

In the event of major damage or total loss, customer liability depends on insurance and negligence.

  • If insured claim applies: customer may be liable for up to 45% of the Insured Declared Value (IDV) when negligence is established.
  • Police report and company investigation required. Insurance processing time may apply.

Restricted Areas & Geo-fencing

Vehicles are geo-fenced. Entering banned or restricted zones without prior approval is not allowed.

  • Unauthorised entry fine: ₹10,000.
  • Notify AlexaCars before route changes. Continued violation may result in termination and full liability.

Driving a Damaged Vehicle

If damage occurs, stop using the vehicle if unsafe and inform the company immediately.

  • Continuing to drive a damaged vehicle without approval: customer liable for additional damage and costs.
  • Follow company instructions for towing, repairs, and reporting.

External Branding & Modifications

No unauthorized stickers, wraps, or modifications are allowed.

  • Violation fine: ₹5,000 plus cost to remove and repair any damage.
  • Permanent modifications will be charged at replacement/repair cost.

Spare Parts & Mechanical Interventions

Do not remove, replace or alter spare parts without explicit company authorization.

  • Unauthorized changes: ₹5,000 fine plus cost of parts and labor.
  • In emergency situations, inform us and retain receipts for reimbursable expenses (subject to prior approval).

Fuel, Tolls, & Additional Operating Costs

Vehicles are provided with a fuel policy as per booking (full-to-full unless stated otherwise).

  • Fuel charge: customer reimburses missing fuel at prevailing pump rate + administrative fee.
  • Tolls, parking, fines: customer is responsible for all third-party charges during the rental.

Security Deposit & Refunds

Security deposit holds may be placed at the start of rental and released after vehicle inspection.

  • Deposit withheld until all charges (fines, damages, extra kms) are settled.
  • Refund time: typically 7–14 business days after final inspection and claim resolution.

Cancellation, Amendments & No-shows

Booking changes are subject to company policy and availability.

  • Cancellation charges depend on notice period; last-minute cancellations or no-shows may forfeit deposits.
  • Contact support to amend bookings; written confirmation required for changes.

Reporting, Documentation & Cooperation

In any incident (accident, theft, damage) you must:

  • Ensure safety and call emergency services if required.
  • Contact AlexaCars immediately and provide a police report when applicable.
  • Share photographs, witness details, and cooperate with investigations.

Governing Law & Disputes

These terms are governed by the applicable regional laws. Any disputes will be handled under local jurisdiction.
